Elections

Learn about the positions, nomination process, and voting protocol.

WGA PTO Executive Board members are each elected by members-at-large. All other positions (committee chairs and/or coordinators) are appointed by the executive board. Nominations are submitted in April for the following school year. There is a voting period by ballot. The transition to new board members occur during the May (final) PTO general meeting.

PTO Board transition will take place prior to the start of next school year. Additional changes and appointments to the PTO team may be made, as needed over the summer and into the next school year.

PTO Positions

Below are the positions and descriptions for current roles on the PTO team. All roles are on a volunteer basis. Some positions are seasonal, others may have responsibilities throughout the school year. (NOTE: Some committee roles may be created and/or combined, as needed.)

BOARD POSITIONS

According to the by-laws, the primary responsibilities of PTO executive board members are as follows:

​

PRESIDENT

  • Attend PTO meetings

  • Chair PTO meetings

  • Enforce all by-laws and policies.

  • Assist and coordinate chairperson, as needed.

  • Outline and supervise all PTO fundraising efforts

  • Set general and Executive Board meeting times.

 

VICE PRESIDENT

  • Attend PTO meetings

  • Chair PTO meetings in absence of President.

  • Assist President to enforce all by-laws and policies.

  • Assist and coordinate chairpersons, as needed.

  • Assist President to outline and supervise all PTO fundraising efforts.

  • Assist President with setting general and Executive Board meeting items.

SECRETARY

  • Attend PTO meetings

  • Attend Executive Board meetings.

  • Record and maintain written documentation of all meetings, executive and general. As a minimum, minutes must include a list of all expenses (amount, date expended, description and check number, if applicable) since the last minutes were approved.

  • Present a written report of previous PTO meeting minutes

  • Handle correspondence of the organization.

 

TREASURER

  • Attend PTO meetings

  • Attend Executive Board Meetings

  • Coordinate and maintain financial records for all PTYO sponsored fundraising activities.

  • Maintain all PTO bank accounts, keeping accurate records of all receipts and expenditures.

  • Receive all monies of organization, and make deposits into bank account.

  • Present a current report of financial status at PTO meetings.

  • Prepare a monthly bank reconciliation for all bank accounts, and ensure that reconciliations are reviewed by a non-signatory.

COMMITTEE CHAIRS

 

Committee Chair positions are added each year, depending on the needs of the school. These are the positions needed for 2024-2025.

VOLUNTEER COORDINATOR

  • Liaisons between PTO, Teachers/Staff and the WGA Community-at-large for various volunteer requests, including but not limited to PTO and/or WGA-hosted events, as well as, teacher/staff run projects

  • Creates and maintains volunteer sign-up requests using volunteer management system (i.e. Google Forms, signup.com, etc.)

  • Coordinates with Room Parent volunteers with additional classroom-level support

 

MARKETING

Works closely with the Secretary to ensure streamlined and timely updates for PTO communications and events.

  • Creates and maintain content calendar for PTO in collaboration with the PTO Board

  • Designs and creates posts, reels, stories etc. across all social platforms

  • Maintains and updates PTO Website

  • Works collaboratively with Committee Chairs on creative marketing content (digital and/or print)

EVENT PLANNING

These are the primary responsibilities of the Event Planning committee chairperson.

  • Liaison with local restaurants to coordinate and schedule restaurant nights

  • Plans and coordinates beginning- and end-of-year celebrations

  • Plan minimum of 2 family nights - Game Night and Spring Jamboree

  • Recruit committee members for the planning and execution of events

  • Works closely with the Community Chair to implement engagement activities during family events.

CHECK-A-THON

These are the primary responsibilities of the Check-a-thon committee chairperson.

  • Coordinates and manages annual Check-a-thon fundraiser from the idea inception to final execution

  • Appoints a sub-committee chair responsible for executing all check-a-thon wrap up events

  • Most of the workload to be completed from May-October

BOOK FAIR

These are the primary responsibilities of the Book Fairs committee chairperson.  Coordinates and executes a twice-yearly book fair (Fall/Spring). 

  • Attends all meeting between vendors and WGA librarian

  • Creates marketing materials and communications for the fair in collaboration with the vendor and the Digital Marketing/Secretary Board Members.

  • Recruits volunteers for staffing the book fair, including the setup and take-down.

​

HOSPITALITY

These are the primary responsibilities of the Hospitality committee chairperson.

  • Oversees all things hospitality throughout the year in coordination with the WGA Office Manager. Including

    • Teacher’s birthday gift, teacher's lunch (on certain days), etc. related to school staff. 

    • Creating the annual Teacher Appreciation Week theme and executing on all aspects of making it a successful week.

  • Requires availability during school hours including staff in-service days
